aitani is a managed service that helps Japanese local businesses appear on ChatGPT, Gemini, Google AI Overview and Google Maps. This policy explains what data we collect, why we collect it, how long we keep it, and how you can ask us to delete it.
What we collect
When you request a free AI Search Check, we collect the business information you enter (Google Maps URL, business name, address, phone, optional website), your email address, and any optional context (competitors, goals) you choose to add. When you use the workspace as a customer, we also record which pages you open, the actions you approve, and the messages you send us. We do not collect payment card details ourselves — subscriptions, when they exist, are handled by an external payment processor.
Why we collect it
We use your business data to run the audit (query ChatGPT, Google, Gemini and public sources about your business), to send the report to your email, and to keep operating the monitoring workspace if you continue as a customer. We use your email to deliver reports, respond to your questions, and, only if you opted in, occasional product updates. We do not sell your data. We do not use it to train third-party AI models.
Third-party services we rely on
To measure AI visibility we send anonymised queries (containing your business name and location) to OpenAI (ChatGPT Responses API) and DataForSEO (Google AI Overview, Maps and SERP data). We use Vercel for hosting and Sentry for error monitoring, Resend for outbound email, Neon (PostgreSQL) for our database, and Inngest for background jobs. Each of these processors is bound by their own privacy terms and processes data on our behalf under a data processing agreement.
Cookies
We use only strictly necessary cookies (session, CSRF, language preference). We do not use advertising or cross-site tracking cookies. Analytics, when enabled, use privacy-preserving first-party measurement and do not build cross-site profiles.
How long we keep your data
Free audit records and email addresses are retained for 24 months so we can rerun a comparable audit if you come back. Paying customer workspace data is retained for the duration of the contract plus 12 months for continuity. Server logs are retained for 30 days. You may request earlier deletion at any time.
Your rights
You can request access to, correction of, or deletion of the personal data we hold about you by emailing aitanijapan@gmail.com. We reply within 14 business days. If you are a resident of the EU, the UK, California, or a similar jurisdiction, you also have the right to lodge a complaint with your local supervisory authority.
International transfers
Our production database is hosted in Singapore (Neon ap-southeast-1) and edge functions run in Tokyo (Vercel hnd1). Some processors (OpenAI, Sentry, Vercel control plane) may process data in the United States under standard contractual clauses.
